What Is A Recurring Meeting And How To Schedule It?

Recurring Meeting

Monthly performance meetings, weekly team meetings, daily task meetings, quarterly review meetings, and one-on-one meetings, the recurring meeting is the base of any project. The recurring meeting is common in many professions. Additionally, it helps to interact with each other, brings out-of-the-box ideas to the table, and connects the organisation with the project and tasks.

The recurring meeting is also an excellent option for managing the workflow, giving everyone a chance to come out of their shelf, tracking the performance and working on the flaws. In a nutshell, the recurring meeting is essential and not something that can be ignored just because you are tired of managing them. Not anymore!

In this advanced world, where remote working has become a part of life, scheduling recurring meetings is simple. You can set up recurring meetings online, such as on Google Calendar, Outlook, or Zoom, to reduce your burden and risk of missing any important meeting. We will discuss the instructions on the same later. But first, learn other things about recurring meetings. Being a broad term, it has many things to discuss.

Here they are!

What is a recurring meeting?

Well, the term recurring is describing its meaning itself. The recurring meeting is repeated on the calendar daily, weekly, monthly, quarterly, or yearly. Let's understand it this way ━ If you are a project manager and every week you have to meet other team members to follow up on the updates, that is called a recurring meeting. It can be of different types. A few of them are discussed below.

Types of recurring meetings

In most sectors, recurring meetings are inevitable and easily dominate the calendar. These include-

  • Staff meetings

  • Scrum meetings

  • Standing meetings

  • Project check-ins

  • All-hands meetings

  • One-on-ones

  • Team meetings

Is a recurring meeting effective?

Recurring meetings are effective. They bring the team together, remind everyone of the company's objective, and bring them back on track if they are lost.

They can be ineffective because of mismanagement, disorganisation, too lengthy, too frequent, irrelevant and sometimes unnecessary.

If you suspect your recurring meeting is going out of track, you might need to learn how to manage the recurring meeting.

Benefits of scheduling recurring meeting

When you have so many meetings to attend in a day, week, month or year, there are chances to miss an important meeting. You can schedule recurring meetings and save yourself from messing up. Here are the primary benefits of scheduling recurring meetings.

Create only once

You only need to schedule your regular meeting once. Provide the number of times or specific dates and times you need to attend the meeting, and you will be notified before the meeting.

Repeat on specific days

Set the specific day of the meeting on the calendar; for example, if you want a meeting every Monday and Wednesday, just set the days.

Meeting reminders

Do not miss a meeting, and keep yourself on the top of the punctuality list. Recurring meetings send reminder emails to meeting participants on the scheduled day.

Add co-host

The recurring meeting allows you to add a co-host and ensure that the meetings are going forward in case of your absence.

Keep in touch with your team

Physical proximity is no longer required to bring your entire team to one table. Stay in touch with the people remotely with the help of recurring meetings.
